AP Professionals has partnered exclusively with a highly regarded independent specialty medical practice seeking a Clinical Operations Manager to oversee daily clinic operations. Through practice growth, this leader will ensure smooth operations and ensure patient and team satisfaction. The ideal candidate will be an RN with prior manager experience. Experience in the specific medical discipline is not necessary, and there will be a reasonable orientation period to learn the specifics. This is a great opportunity to learn something new! Financial:

  • Directs and manages the day-to-day aspects of drug inventory reconciliation, medical supply inventory and other internal controls
  • Monthly drug reconciliation at all sites
  • Assists in developing and implementing efficiencies that maximize reimbursement for medical and surgical services rendered by office physicians and other health professionals
  • Manages departmental expenses to maintain operational budget integrity
  • Periodically reviews vendor service and pricing for most favorable terms

Operations/Facilities:

  • Responsible for all daily clinical operations for all offices including satellites
  • Oversee the inspection, maintenance, and repair of all ophthalmic and photography equipment
  • Oversees the development, maintenance and implementation of the Occupational Safety & Health Associations standards. Ensures these standards are being met and facilitates safety meetings/trainings
  • Communicates regularly with all members of administration. Collaborates with the Executive Director and Office Manager to resolve issues.
  • Oversees all clinical equipment and helps to facilitate issues with chosen partners
  • Skillfully start and maintain intravenous lines for patients requiring photodynamic therapy or other treatments.
  • Assist ophthalmologists during photodynamic therapy procedures.
  • Monitor patients throughout PDT to ensure their safety and comfort
  • Document patient response and vital signs during and after PDT
  • Provide patients with clear instructions on post-procedure care and medications. Provide patient education on eye health, treatment options, and prevention measures. Manage Employee Health
  • Obtains and maintains photography clinical study certification
  • Work closely with Ophthalmologists, and other healthcare professionals to ensure coordination of patient care

Personnel:

  • Manages and directs the orientation programs for clinical office staff
  • Aids in the selection, training, supervision, and on-going development of clinical department personnel
  • Works with the departmental leads to oversee scheduling and work assignments for administrative personnel
  • Ensures staff’s understanding of the mission and objective and the importance of attitude, attendance, accuracy, appearance and aptitude in achieving our objectives. Resolves concerns and grievances, if possible, or refers unresolved problems to the office manager
  • Empowers staff to achieve patient satisfaction within operating policies
  • Monitors staff performance, and takes appropriate action to assure quality performance and quality improvement
  • Implements ongoing employee training programs in such areas as understanding basic medical terms and procedures, telephone etiquette, cardiopulmonary resuscitation, diagnostic and procedural coding, scribing, and other clinical areas as needed
  • Monitors and controls overtime and staff absences

Patient and referring Physician Satisfaction:

  • Makes recommendations for improving patient satisfaction
  • Monitors patient wait time
  • Maintain and develop efficient and effective clinical flow and processes that supports a positive patient experience
  • Manages patient/family member complaints and expectations

Medical Records:

  • Ensures the proper preparation, documentation, storage and distribution of medical records
  • Periodic auditing of medical records and billing
  • Ensures the corporate policies are followed regarding copying and dissemination of medical records

Resource Utilization:

  • Manages the day-to-day utilization of business resources to achieve optimal efficiency and effectiveness
  • Monitors the purchasing of clinical supplies and services in comparison to budget. Recommends methodologies to enhance business opportunities for the practice

Committees and Meetings:

  • Attends organization and committee meetings as requested
  • Promotes the implementation of organizational decisions and monitors results
  • Staffs corporate committees or initiatives as requested by the Executive Director/Office Manager
  • Attends office meetings as requested by the Office Manager

General:

  • Participates in professional development activities and maintains professional affiliations and certifications
  • Conforms to all policies and procedures, including punctuality, attendance, and dress codes
  • Attends social functions and behaves in an appropriate manner to encourage employee participation and enjoyment
  • Achieves cooperation and teamwork through effective communications and positive relations with staff

Education:

  • Registered Nurse

Experience:

  • Management experience in a medical group practice is required
