Job Overview

We are seeking a highly organized and detail-oriented Import Assistant who is fluent in Chinese to join our team. This role requires a proactive individual who excels in managing import processes, coordinating with suppliers, and ensuring the seamless flow of production activities. The Import Assistant will report directly to the Import Manager and play a crucial role in supporting our import and production operations.

Job Responsibilities

Purchase Orders:

• Track PO progress and update respective departments.
• Create PO processing priority list.
• Handle and track emergency requests.
• Update PO progress checklist for each order.
• Coordinate with Sourcing department for product samples.

Package Design Tracking:

• Assist Design team with relevant product information for the creation of packaging (dimensions, etc.).
• Proofread all package artworks, correcting any errors based on customers’ guidelines.
• Source package suppliers, negotiate package price, and determine which supplier is the optimal choice.
• Keep track of inspection/QC reports.
• Coordinate with factories on product status and packaging issues.
• Release artwork after checking packaging instructions, ensuring that it aligns with company requirements.
• Release packaging artwork to factories.

Manual Design Tracking:

• Request working samples, drafting manuals, line art, and high-res images for manual design.
• Send user manuals to factories, ensuring all information is correct before sending them out for mass production.

Review Package Samples:

• Request packet samples from factories, discuss them with Sourcing, and prepare comments.
• Give feedback to factories on samples and approve final packaging samples to proceed with mass production.
• Coordinate with Sourcing and Import teams for approval of package prices.
• Request product package PDQ samples as requested by salespeople and buyers from factories.

Oversee Mass Production Samples:

• Request mass production samples from factories, keeping track of the delivery schedule.
• Update all records in digital databases.
• Provide package feedback as advised by Sales and Sourcing teams.

Ideal Qualifications/Skills

• Bachelor’s degree.
• Fluency in Chinese is required.
• Prior experience in an Imports department with suppliers in China is essential.
• Highly proficient in Excel.
• Strong ability to perform in a fast-paced environment.
• Hard-working and highly organized with excellent attention to detail.
• Exceptional written and verbal communication skills.
